Overview

Promote effective communication between the agency and the public by answering caller inquiries and transferring calls as required.  Promote effective communication within the agency through use of the paging system as required.  Act as an ambassador in greeting and directing visitors.

Responsibilities

Primary duties and responsibilities include but not limited to:

 

  • Answer incoming calls to the agency by using phone console.  Answer caller inquiries or assist callers in contacting the appropriate individual by forwarding calls.
  • Greet visitors and direct them to the appropriate office or meeting location.  Issue visitor’s passes to all visitors to the mansion building.  Announce visitors by calling the appropriate department to advise that a visitor has arrived.
  • Retrieve messages from the overnight voice mail tape and distribute messages to the various individuals
  • Maintain a log of all deliveries to the Plainview.  Calls the addressee to announce the delivery,and obtain the addressee’s signature for the delivery, or sign for the delivery in the absence of the addressee.
  • Operate the paging system for the agency using the phone console, as requested.  If the system is inoperative, contact each department by calling them individually and informing them of the page message to promote effective communication within the agency.
  • Responsible for mail distribution.
  • Manage the Employee ID Badging System; create, distribute, and delete ID badges as needed.
  • Mail and Track Receipt of Employment and Personal References and PPD’s as needed.
  • Process HR documentation, as needed.

 

Perform all other related duties as requested by supervisor.

 

 

 

Qualifications

  • High School Diploma or Equivalent preferred.
  • Excellent Oral communication skills required. 
  • Knowledge of Microsoft Office Suite applications
  • Excel and ability to maintain confidential records and information required.
